A clear brief helps the desk assess the whole journey and resolve missing details before you compare flight options.

What to include in your request

  1. 1. Every leg and local time

    List each departure and destination, date and preferred time window. Include the local timezone, return journey and any meeting or arrival deadline. Flag airports that are preferences rather than requirements.

  2. 2. People and group constraints

    Give the passenger count on each leg. State whether everyone must travel together or whether a split is acceptable. Do not assume a seating number establishes suitability for the whole journey.

  3. 3. Bags and equipment

    Count suitcases, golf bags and other equipment separately. Include weight and dimensions where known. Mark unknowns explicitly, and mention pets or assistance needs without sharing unnecessary sensitive details.

  4. 4. Budget and flexibility

    State the currency and whether the budget covers the whole itinerary. Specify the dates, times or nearby airports you would consider. Flexibility must be permitted, not inferred.

  5. 5. Decision and contact roles

    Identify the organiser, the person approving the option and the decision deadline. If you are referring a client, agree the introduction and data-sharing scope before passing on identifying details.

Illustrative brief, not a quotation

A Singapore-Phuket group journey

Eight passengers, outbound on 20 November 2030 and returning on 23 November. Depart after 10:00 local time; keep the group together. Eight suitcases and four golf bags, with dimensions still to be confirmed. Budget stated in USD for the complete return itinerary. The organiser needs options by an agreed decision date.

The unresolved baggage details remain a question for the desk. This example establishes neither aircraft suitability nor route availability. A real request should include your actual dates and permitted flexibility.

Compare the complete proposal

Check which legs and aircraft are included, the combined total and currency, baggage suitability, schedule, exclusions, cancellation conditions and expiry. For a split group, ask for each aircraft's passenger allocation and timing. Do not add a return-package price twice or compare a per-leg price with a whole-trip total.

A planning figure, not confirmed aircraft availability.
Proposal
An option with its stated itinerary, price basis, conditions and expiry. Review what is still unresolved.
Reconfirming
The preferred option is being checked again. Selecting it is not a reservation.
Confirmed
The responsible contracting party has accepted the booking under the agreed terms.
